“Signing documents with an e-signature using Dokobit is a vital step while digitising everyday work processes. It is crucial for optimising business processes and reducing the environmental impact.”
Giedrė Frolenkienė, Director of Legal Services Department at Maxima LT
Challenge
At the beginning of the COVID-19 pandemic, when part of the activities (primarily administrative work) had to be carried out remotely, the mission to “work in an orderly and organised manner”, allowing the exchange of original documents, was practically impossible.
Free e-signing platforms did not ensure all company documents were all in one place. This is crucial for any company, regardless of its size.
Before that, signing contracts using physical signatures was a process that took too much time. Also, it was not uncommon to have to hunt for contracts with other “on hold” parties.
Solution
One of the main criteria that helped Maxima LT choose Dokobit as their partners were reliability, ease of use, and price.
Currently, a substantial part of the company’s documents are signed using Dokobit platform, i.e., all company contracts (including amendments, additional agreements, etc.) – both with natural and legal persons. Dokobit is also used to sign letters sent on behalf of the company, i.e., for such documents that require an official signature of the company representative, e.g., court documents, when communicating with state institutions (VMI, “Sodra”, etc.).
Result
After using Dokobit solutions, the workload and the amount of paper used for the administration of contracts at Maxima LT decreased. Not only that, the process of signing and storing contracts has become noticeably faster.
