Challenge
The Žalgiris organisation unites all companies and brands operating within the structure of Kaunas Žalgiris and Žalgiris Arena. This includes the Kaunas Žalgiris basketball and football clubs, Žalgiris Arena, the Žalgiris Arena swimming pool, and the Sala restaurant, among others. Together, they form one consolidated organisation with a unified mission, shared values, and mutual strategic goals.
As the organisational structure of Žalgiris group expanded, the need arose to manage administrative processes more efficiently, improve document management, and enhance communication between departments and group companies. Suitable solutions were lacking for efficiently managing documents, streamlining processes, and reducing paper-based documentation. Additionally, there was a need to modernise and optimise HR administration, allowing employees to perform tasks remotely using digital tools.
Solution
The Žalgiris group represents a progressive organisation underpinned by core values such as leadership, professionalism, and teamwork. With the expansion of its organisational structure and a growing need for efficient process management, the AIS document and process management system by Sekasoft, integrated with Dokobit e-signing solutions, was chosen. Key deciding factors included the appealing and intuitive AIS user interface, Sekasoft’s reliability and technical support, and recommendations and feedback regarding AIS and Sekasoft. Presently, more than 200 employees utilise the system.
Result
The Žalgiris group is delighted by the results achieved since adopting the system. Operational efficiency has significantly improved, as time previously spent on coordinating and approving paper documents has been saved. Internal communication between departments, divisions, and group company employees has also been enhanced, with fewer misplaced documents and less confusion. A culture of collaboration is being fostered by sharing relevant information and important dates within the group’s shared intranet.
The integration of Dokobit e-signing solutions enables electronic signatures to be used directly within the AIS system for both internal documents (e.g., authorisations) and third-party documents. It also facilitates signature verification (validation) for signed documents received from external sources. Administrative processes within the HR department have been noticeably optimised, from processing and approving employee requests to familiarising staff with company policies, validating instructions, and registering orders.
