Challenge

As Biomotorai grew rapidly, the need for efficient client relationship management became clear. The company implemented a unified CRM system across Lithuania, Latvia, and Estonia to address this. The chosen solution, Salesforce, met the demand for a client-focused system, centralizing all current and prospective client data and tracking the entire relationship journey, from initial contact to signed agreements. A key goal was to eliminate paper in the contract process, which led to the need for an integrated electronic signing solution.

Previously, contract preparation was time-consuming, involving data collection, printing, signing, scanning, and sending to suppliers. The process was further delayed by the need for suppliers to sign and return the documents.

Solution

The primary criterion for selecting an electronic signing solution provider was compatibility with the implemented CRM system, Salesforce. Dokobit perfectly met this requirement. Equally important were the recommendations from the CRM implementation team and the successful electronic contract signing solutions already delivered by Dokobit.

Result

Since October 2023, all contracts in Lithuania, Latvia, and Estonia have been managed through the Salesforce system. Starting in early 2024, 70% of contracts and amendments created in Salesforce have been signed electronically with the Dokobit solution.

While any change can pose temporary challenges, Biomotorai proudly reports that the contract signing process is now four times faster. The purchasing team can easily update collaboration agreements, send revised documents to clients, and assist those unfamiliar with electronic signing, ensuring quick completion and immediate contract statistics updates.

The days of filing cabinets filled with agreements and the need for storage space are gone. Document searches are now swift, allowing the company to focus entirely on enhancing its used cooking oil collection services.
